Exhibition Reception Counters: Planning for Visitor Flow
A reception counter can welcome visitors or become a barrier between them and the exhibition team. Its position should support the conversations and demonstrations planned for the stand. Thinking through visitor movement before fabrication makes the layout easier to review with the venue and production teams.
Define what happens at the counter
Identify whether staff will greet visitors, distribute literature, demonstrate products or arrange meetings. These activities need different working surfaces and access to materials. Decide how many team members will use the counter at once and what needs to remain out of sight. Avoid choosing dimensions from appearance alone; review a layout that shows people as well as furniture.
Keep the entrance understandable
Position the counter so visitors can recognise where to approach without closing the stand opening. Consider queues and the route to seating or a demonstration area. Check the venue rules and any applicable access requirements with the responsible team. Do not treat an attractive rendering as proof that clearances are sufficient. Review the actual footprint and neighbouring stand boundaries.
Coordinate branding, storage and equipment
Place the brand where it remains visible when staff and visitors are standing nearby. Plan a practical location for brochures, samples and personal items. If screens, charging points or lighting are needed, agree cable routes and power requirements before construction. Keep cables away from circulation routes and use the installation arrangements approved by the venue and contractor.
Test the working arrangement before opening
Walk the assembled stand as a visitor and as a staff member. Check reach, visibility, opening panels and the path between the counter and meeting space. Make sure the counter is stable and any equipment operates as intended. Record agreed adjustments before the event opens. A brief team walkthrough also helps staff understand where to welcome people and how to keep the area organised.
