Employee Welcome Kits: Planning Branded Items People Will Use

A welcome kit is more useful when it supports a new employee’s first days rather than acting as a collection of unrelated branded objects. Planning the contents, packaging and personalisation together helps a business place an order that is easy to distribute and maintain as new staff join.

Start with the employee’s routine

List the situations in which the kit will be used: at a desk, while travelling or during an induction session. Choose items that fit those situations and the company’s working arrangements. Separate essential items from optional gifts. Ask about usability before choosing decoration, and avoid making assumptions about personal preferences. The appropriate contents depend on the audience and available budget.

Create a practical branding specification

Provide the approved logo files, brand colours and the desired placement on each item. Different surfaces may require different branding methods, so review what the supplier proposes rather than expecting identical results on every material. Keep names, job titles and any individual messages in a controlled list. Decide how spelling will be checked and who approves personalisation before production begins.

Review the kit as a complete package

A sample should help confirm the items, artwork position, packaging and how the kit opens. Check whether products are secure during transport and whether the branding remains visible when everything is packed. Clarify which aspects the sample represents and any differences from the final order. Keep a record of the approved combination, including quantities and any agreed alternatives if an item becomes unavailable.

Plan distribution and repeat orders

Confirm delivery locations, packing labels and who receives the shipment. Avoid placing employee details on outer packaging unnecessarily. Keep spare quantities realistic and record the specifications for future joiners. A reusable ordering sheet can make subsequent batches more consistent. When a logo or item changes, issue a new version of that sheet so that older stock and new kits can be distinguished.
