Exhibition Installation Planning: What to Confirm Before Event Day
Installation is a project stage in its own right. A booth design can be approved while essential details about delivery, venue access and assembly remain unresolved.
Confirm access and responsibilities
Ask the organiser for the installation schedule, entry arrangements and applicable site requirements. Identify who coordinates deliveries and who is responsible for each part of the stand. Share the approved drawings with the relevant team. Confirm electrical or other specialist requirements through the appropriate venue and contractor channels.
Prepare a complete delivery list
List structural elements, graphics, lighting, furniture and supporting materials. Label items so they can be matched to the installation plan. Check finished graphics against the latest approved artwork and keep key contact details available. Discuss how missing or damaged items will be handled rather than leaving this decision until the team is on site.
Inspect before opening
Walk through the installed stand with the project lead. Check visible finishes, branding, access and the operation of planned displays. Record outstanding items and assign responsibility for resolving them. Agree the handover and removal arrangements. A documented check helps the event team know what has been completed and what still needs attention.
